Purpose
This policy outlines how the Right Use of Power Institute handles video recordings of training sessions to protect participant privacy, honor consent, and comply with legal and ethical standards.
Scope
This policy applies to all video recordings created during live training sessions hosted or facilitated by the Right Use of Power Institute.
1. Recording and Access
- Training sessions may be recorded, and participants will be notified in advance.
- Recordings are shared only with the participants of the specific training.
- All recordings are stored on secure, password-protected platforms (Descript for editing; Adilo for storage and sharing).
2. Security Protocols
- All recordings are password-protected and only accessible to authorized RUPI staff and faculty, as well as participants of their specific training.
- Descript: All files are saved in a cloud environment with security measures including encryption in transit and at rest, role-based access, and regular security updates.
- Adilo: Videos are stored on ISO 27001-certified servers, protected by SSL encryption, 2FA, limited access controls, and activity monitoring.
- Right Use of Power Institute periodically reviews user access to recordings and promptly removes access for anyone no longer authorized.
3. Retention & Deletion
- Recordings may be retained indefinitely for internal instructional purposes for faculty and staff.Â
- Some recordings are used for external instructional purposes, but in such cases, images and audio of any students are deleted.
4. Participant Consent and Rights
- Participants are informed of the intended recording and sharing policy at registration.
- Participants may request in writing for their video/audio/image to be excluded or edited from the published recording, when feasible.
- Right Use of Power Institute does not share, sell, or use recordings for purposes beyond participant access and internal instructional purposes without additional explicit consent.
5. Policy Review and Updates
- This policy is reviewed annually and updated as needed to reflect evolving legal and ethical standards or changes in technology platforms.
